Usage Summaries
These reports display usage summaries for drugs, prescribers and patients.
A. Drug Usage Summary
To access the Drug Usage Summary screen, click on Report 2. Usage Summaries A. Drug Usage Summary.
The Drug Usage Summary screen allows the user to generate a listing of drugs used between a specific time-frame, for selected criteria.
Pharmacies often receive requests from wholesalers for their top 25 or 100 drugs.
You can access this information through a Drug Usage Summary. Select a Date Range (usually six months) and number of Records to Display (usually Top 25-250).
For most requests, set Display Status to “Paid - Cash,” “Transmitted,” and “Paid - By Ins.” Click Generate.
Drug Usage Filter Settings
The report can be filtered down by multitude of options; the user can choose to filter the search by
Date Range: Select the start and end dates.
Drug Name or NDC: Search for drugs by name or NDC (supports “begins with”).
Records to Display: Choose All, Top 25/50/100/150/200/250, or select “Other” and enter a custom number.
Prescriber: Filter by prescriber name (Last Name, First Name).
Show Dollar Amounts: Displays Acq Cost, Total, Margin, and Profit %.
Plan: Filter results by insurance plan.
Compounds: Show All Drugs, only Compounds, or only Non-Compounds.
Sort By: Sort results by Number of Rx’s or Quantity.
Statuses to Display: Paid–Cash, Unbilled, Hold, Transmitted, Paid–Insurance, Rejected, or Transferred.
Brand/Generic Filter: Show Both, Only Brand, or Only Generic drugs.
340B Class Filter: Show All Rx, only 340B Rx, or only Non‑340B Rx.
OTC/Rx Filter: Show Both Rx & OTC, Only Rx, or Only OTC drugs.
Click Generate Report—or press Enter when the button is highlighted—to create the Drug Summary.
Before generating the report, you may narrow the results by selecting any of the filter options above.
You can also sort the report at any time by clicking the column header for the field you want to sort by.
Printing
To print the report, click the Print button or press the Enter key when the Print button is highlighted.
Exporting
You can export the report to Excel or send it by fax (requires Internet Fax integration, such as SRFax, Updox, VowFax, or NexIPtel).
If you'd like to export the report to a file, click the Export button or press the Enter key when the Export button is highlighted. NOTE: Export to Excel only works on full versions of Microsoft Excel/Office.
This feature does not work with Office Starter 2010 or other starter/third‑party versions. If you are using one of these versions, export the file as a CSV (Comma Separated Values) instead.
You can clear all data displayed on the screen by clicking the Clear button or pressing Enter when the Clear button is highlighted.
Add To Order
The pharmacy can also send or print medication orders and adjust the quantity using “QTY to Order.” For more information…
Pending Order Exists
If a pending order already exists, it will appear in Create/Edit Purchase Order, and the system will prompt them if an order for that supplier is already open.
B. Prescriber Usage Summary
Commonly used to identify which prescribers send the highest number of prescriptions to the pharmacy.
To access the Drug Usage Summary screen, click on Report 2. Usage Summaries B. Prescriber Usage Summary.
The Prescriber Usage Summary screen allows the user to generate a listing of prescriptions the prescribers were used for between a specific time-frame, for selected criteria.
Prescriber Usage Summary Filtering
The report can be filtered down by multitude of options; the user can choose to filter the search by
Date Range: Select the start and end dates.
Last Name: Enter the prescriber’s last name.
First Name: Enter the prescriber’s first name.
Plan: Filter by insurance plan.
City: Filter by prescriber’s city.
Zip Code: Filter by prescriber’s ZIP code.
Drug: Filter by drug name.
Records to Display: Choose All, Top 50/100/150/200/250, or select Other (e.g., Top 3 Prescribers).
Show Dollar Amount: Displays Acq Cost, Paid Amount, Margin, and Profit %.
More Options: Filter by All Drugs or a specific controlled class (e.g., C1, C2).
To generate the Prescriber Summary, click the Generate Report button or press the Enter key when the Generate Report button is highlighted.
The report can be sorted any time by simply clicking the column name above the records you'd like to sort by.
Printing
To print the report, click the Print button or press Enter when the Print button is highlighted.
Exporting

C. Patient Usage Summary
Can be used to identify patients associated with a specific prescriber, view the top patients who fill most frequently at the pharmacy, display each patient’s number of new prescriptions and refills, or find patients who have used a particular plan and group.
To access the Drug Usage Summary screen, click on Report 2. Usage Summaries C. Patient Usage Summary.
The Patient Usage Summary screen allows the user to generate a list of a patient’s prescription usage within a selected date range.
Patient Usage Summary Filter Settings
You can narrow the report down by selecting specific criteria from the options above before generating the report.
Date Range: Select the start and end dates.
Plan: Filter by insurance plan.
Diagnosis Code: Enter the diagnosis code (e.g., Diabetes 253.5).
Prescriber: Filter by prescriber (Last Name, First Name).
Group #: Enter the insurance group number from the patient’s insurance card.
City: Patient’s city of residence.
Zip: ZIP code for the patient’s city.
Show Dollar Amount: Displays Acq Cost, Paid Amount, Margin, and Profit %.
Records to Display: Choose All, Top 50/100/150/200/250, or select Other (e.g., Top 3 patients with the most fills).
To generate the Patient Usage Summary, click the Generate Report button or press Enter when the button is highlighted.
