Quick Reference Guide

This guide will cover the most commonly used functions within BestRx as a quick and easy reference.

Basic Program Functions

  • To jump directly to a field, hold down ALT and press the letter that is underlined for that field. (ex. on the main screen press ALT + D to go directly to Drug)

  • To click a button without using the mouse, hold down ALT and press the letter that is underlined on that button. (ex. on the main screen press ALT + M to click the ‘Save & Transmit Now’ button)

  • BestRx pages often have additional tabs. To go to the next tab press F9. To move backward one tab press SHIFT + F9.

  • When in a drop down box, press the right arrow key (→) to select the next item and press the left arrow key (←) to select the previous item. (ex. your focus is on DAW on the main screen and ‘0’ is selected. Pressing the right arrow key (→) selects ‘1’. Pressing the left arrow key (←) will select ‘0’ again.)

  • The Spacebar can be used to complete Rx verifications in a continuous flow without touching your mouse.

    • You will need to check the "Allow Keyboard Verification (use Spacebar to verify)" box on the Verify screens to activate this shortcut.

F* Key Shortcuts

  • Pressing the F1 key will launch the help menu web page for the currently active BestRx screen.

  • The F2 key will bring up the Prescriber File within BestRx.

  • The F3 key will bring up the Patient File within BestRx.

  • The F4 key will bring up the Drug File within BestRx.

  • The F5 key will bring up the Insurance Plan File within BestRx (this is different than a patient's insurance plan file, which can be accessed from the patient file).

  • The F6 key will bring up the Patient Profile page within BestRx.

  • The F7 key will bring up the Refill Request and other RX options for the active prescription within BestRx.

  • The F8 key will bring up the Electronic Prescribing Mailbox within BestRx.

  • As mentioned above, the F9 key moves forward between tabs within BestRx.

  • Pressing the F10 key will clear the text from any field and will unselect everything in a selection box.

  • Pressing the F11 key will allow you to scan Rx Image from Verify screens.

Main Screen

  • When your focus is in the Rx # field you can press ‘N’ or ESC to go to New mode, ‘R’ to go to Refill mode, press ‘E’ or ‘L’ to go to Edit mode, press ‘B’ to Display/Reprint Label, and press ‘K’ to do a Price Check.

  • When your focus is in the Rx # field you can press ‘</,’ key (do NOT press Shift) to pull up the previous Rx number and you can press ‘>/.’ (do NOT press Shift) to pull up the next Rx number.

  • If the Patient Name field is blank and you hit the Enter key there, it will automatically bring up the patient you were previously working on, pending the Auto-select Previous Patient User Setting is enabled

  • If the Prescriber Name field is blank and you hit the Enter key there, it will automatically bring up the prescriber that was used on the most recent Rx for the selected patient, pending the Auto-select Previous Prescriber User Setting is enabled.

Prior Authorizations

  • Locate the Prior Auth Type and Prior Auth # fields on the bottom-middle of the screen.

  • For NY Medicaid, the Prior Auth Type should be ‘1’, and the Prior Auth # should be the 8-digit authorization number followed by 3 zeros (‘000’).

  • For other third parties, the Prior Auth Type should be ‘1’, and the Prior Auth # should be 5 zeros (‘00000’) followed by the 6-digit authorization number.

DUR Codes

  • Pull up the Rx in Edit mode. Press F9 or click on the DUR Codes tab.

    • If the Reason for Service code is not there, type it in. Press Enter.

    • Type in the Professional Service Code and press Enter.

    • Type in the Result of Service Code and press Enter.

    • The focus should now be on the Save DURs button; hit Enter.

    • You will automatically go back to the main tab and the focus will be on the Save & Transmit Later button.

    • If you have more Rx’s to fill or edit before transmitting, hit Enter and continue.

    • If you want to transmit right now, press the right arrow key (->) to move the focus to the Save & Transmit Now button and hit Enter.

  • If you need to type in more than 1 line of DUR codes or need to enter in the Level of Effort, Co-Agent ID Qualifier or Co-Agent ID, then leave line #1 blank and begin entering the codes in line #2.

Reversing Claims

  • If you have an Rx displayed in Edit mode on the Rx Processing tab, press F9 twice or click on the Rx Claim Reversal tab. The info for the Rx will be displayed and the focus will be on the Reverse Claim button. Hit Enter to reverse the claim.

  • If you do NOT have an Rx displayed on the Rx Processing tab but you know the Rx # you want to reverse, go to the Rx Claim Reversal tab. Enter the Rx# and hit Enter. In the date field, hit Enter to automatically get the last fill date of that Rx#. Verify the information of the Rx and hit Enter to reverse the claim.

  • If more than one plan have been billed, you can change the Plan drop down box in order to change the plan to reverse.

Drug Education

  • Pull up a drug on the Rx Processing tab. Press F9 three times or click on the Drug Education tab.

  • Four types are normally provided when accessing the Drug Education Information; the Long and Short Counseling, Auxiliary Warnings, and Medication Guides.

  • Long and Short Counseling and Auxiliary Warnings are provided by MediSpan; Medication Guides are only provided for certain drugs by the FDA.

  • If a Medication Guide is not present, it most likely does not exist or was not approved by the FDA.

  • Counseling information can be printed at any time; to print, click on the Print English or Print Spanish button.

Displaying Claim Responses

  • Go to the Claim Response tab. Enter in the Rx# and press Enter or click Display All. If there is only one response, it will be displayed. If there is more than one response, a selection grid will pop up and you will need to choose which response you want to display.

  • To print the response, click the Print button.

  • To view raw claim data as sent to the insurance company, click View Claim Data.

  • You can also move between responses with the "<<Newer" and "Older>>" buttons.

Viewing Previous Fills of an Rx

  • When you pull up an Rx in Edit mode, it automatically pulls up the most recent fill of an Rx. If you want to view an even earlier view of the Rx, you must do one of the following.

    • Pull up the Rx in Edit mode and then click on the Fills for Rx tab. All the fills for that Rx will automatically show up in the grid. Click on the row of the Rx you want to view.

    • If there is no Rx pulled up on the Rx Processing tab, click on the Fills for Rx tab. Type in the Rx number and press Enter. All the fills of the Rx will show up in the grid. Click on the row of the Rx you want to view.

Transaction Code

B1 - Regular transaction type; this is a typical transmittable claim to the insurance companies.

B2 - Reversal transaction

B3 - Adjustment transaction; enter in "A" in the ADJ field on the main processing screen in the bottom right corner.


File Menus

Prescriber File

  • To access the Prescriber File, press the F2 key or click on the Prescriber button towards the far left.

  • If you have a prescriber selected on the Rx Processing screen you will go into Edit mode; otherwise you will go into Add mode.

Sig File

  • To access the Sig (Directions) file, go to File > Sig File.

  • The Daily Supplies for a sig code indicates the quantity of the drug that the patient will use per day, not the number of days the drug will last.

Patient File

  • To access the Patient File, press the F3 key or click on the Patient button towards the far left.

  • If you have a patient selected on the Rx Processing screen you will go into Edit mode; otherwise you will go into Add mode.

Drug File

  • To access the Drug File, press the F4 key or click on the Drug button towards the far left.

  • If you have a drug selected on the Rx Processing screen you will go into Edit mode; otherwise you will go into Add mode.

Insurance File

  • To access the Insurance File, press the F5 key or click on the Insurance button towards the far left.

  • If you have an insurance plan selected on the Rx Processing screen you will go into Edit mode; otherwise you will go into Add mode.

  • You cannot have the same plan code for two different insurance plans.

  • If the insurance plan is a CASH type plan, leave the NCPDP Version and the Plan Bin number blank.

  • If the insurance plan requires a different prescriber ID instead of the DEA number, indicate it in the Prescriber ID to Transmit field.

  • Worker's Compensation claims require to be billed with this information, and the best method is to copy and create a workman's comp specific plan; be sure to select "Worker's Compensation Plan" to Yes in the Miscellaneous tab.

Rx Profile

  • To process Rx’s for refills, first pull up the patient’s profile. Then either click on the row numbers or type the row numbers (separated by commas). Then either press Enter or click on the Process Selected Rxs button.

  • To process Rx’s for editing, first pull up the patient’s profile. Then either press E on the keyboard or click on the Edit button on the bottom of the screen. Then either click on the row numbers or type the row numbers (separated by commas). Then either press Enter or click on the Process Selected Rxs button.

  • To print a patient’s profile, click on Rx Profile towards the top, and then choose Print Profile Select the patient’s name, the date range and specify what you want to display and then click Generate Profile. To print the profile, click the print button.

  • To merge two profiles, click on Rx Profile and then choose Merge Patient Profiles. Select the patients and then click on the Merge Profiles button.
