B. Inventory Report
Overview
The Drug Inventory Report screen allows users to view a detailed inventory of the drugs available in the pharmacy, with options to filter the report based on specific criteria.
Users can narrow their search by entering the beginning of a Drug's name or its NDC number, selecting a Control Class, Price Level, or the Quantity of the drug on hand. Additional filters include the last fill date, drug type (brand, generic, or both), and classification as prescription (RX, OTC, or both).
These filtering options provide pharmacy with the flexibility to customize the report and quickly access the most relevant inventory information.
To access the Drug Inventory Report screen, click on Inventory B. Inventory Report.
To generate a drug inventory report of all drugs, select "All Quantities" in the "Show if QOH is" field using the drop-down list and leave all other fields empty.
Inventory Report Filters
Report Type: Displays the report based on Normal, 340B Drugs Only, Non-340B Drugs Only, LTC Drugs Only, or Non-LTC Drugs Only.
Only show where: Drug name or NDC number, use the dropdown list to select "Drug Name" or "Drug NDC" in the Only Show Where field and enter in the beginning of the name or NDC number in the begins with field.
Price level: use the dropdown list for the Price Level field to select Acq Cost, Direct, Dispense, Fed Mac, None.
Hazardous: Displays whether a drug is hazardous ‘Yes’ or ‘No’.
Show if QOH is: Displays current quantity on hand for inventory, there is various options for the report.
Control class: use the dropdown list for the Show Control Class field to select the appropriate control class.
Last fill date on or after: enter in the appropriate date in the Show drugs last filled on or after field.
Get QOH as of: enter the appropriate date in the get quantity on hand field to display the date.
Brand/generic: use the dropdown list for the Brand/Generic field to select the appropriate designation.
Rx/OTC: use the dropdown list for the Rx/OTC field to select the appropriate designation.
Show Lot Info: use the dropdown list to select for ‘Yes’ or ‘No’ and display lot information for Rxs.
The user may narrow down the list using as many restrictions as they like.
When finished, click the "Generate Report" button or press the "Enter" key when the "Generate Report" button is highlighted to obtain the inventory report.
Adjusting Quantity On Hand
The report is highly useful for adjusting the current quantity on hand, as it enables users to easily modify drug quantities.
By clicking the corresponding field ‘Curr QOH’ for the drug being adjusted, BestRx opens a prompt that allows the user to modify the entry for Current QOH, Minimum QOH, Default Dispense Qty, and additional QOH Remarks.
Once the appropriate quantity is entered, the pharmacy can quickly repeat the process for any other drug that requires adjustment.
This method significantly speeds up inventory adjustments and corrections, eliminating the need for manual updates by going into each drug file individually.
Print Report
To print the report, click the "Print" button or press the "Enter" key when the "Print" button is highlighted.
Click the "Clear" button or press the "Enter" key when the "Clear" button is highlighted to clear all data displayed on the screen.
Print Special
There are specialty formatting options available if you need this report in a specific format.
Simply click the "Print Special" button or press the "Enter" key when the "Print Special" button is highlighted to open the extra menu. Currently we have an option to print a DEA Inventory Report as well as a Texas Controlled Substance Inventory Worksheet.
If you'd like to export the report to a file, click the "Export Data" button or press the "Enter" key when the "Export Data" button is highlighted.
NOTE: Export to Excel only works on full versions of Microsoft Excel/Office. It does NOT work with the Office Starter 2010 and other starter/third party versions. If using any one of these, export to a Comma Separated Values (CSV) instead.
