Prescriber Screen (F2)
Prescriber File
The Prescriber file in BestRx stores and manages prescriber (provider) information used for prescription processing and electronic prescribing. It ensures prescriptions are associated with the correct prescriber details and supports ERx workflows, regulatory requirements, and accurate claim and message routing.
To access the Prescriber file press the F2 key, click on the Prescriber button towards the left of the screen or click File 1. Prescribers File.
Adding a New Prescriber
To add a new prescriber from the Rx Processing screen, place the cursor in the Prescriber field and ensure it is empty. Then press F2, select the Prescriber button on the left side of the screen, or navigate to File Prescriber’s File.
When the Prescriber File opens, ensure Add New Prescriber is selected at the top of the screen. Enter the prescriber’s information and select Save, or press Enter while Save is highlighted, to store the record. Select Save & Exit, or press Enter while Save & Exit is highlighted, to save the information and return to the Rx Processing screen.
When entering a ZIP code for the first time, BestRx automatically saves it to the Zip Code file if it does not already exist. Afterward, entering the same ZIP code will automatically populate the City and State fields. For more information, see the Zip Code File.
Name: Enter the prescriber’s full name in Last Name, First Name format.
Editing an Existing Prescriber
To edit an existing prescriber from the Rx Processing screen, enter the prescriber’s name in the Prescriber field. Then press F2, select the Prescriber button on the left side of the screen, or navigate to File Prescriber’s File.
When the Prescriber File opens, ensure Edit Prescriber is selected at the top of the screen. Make the necessary changes and select Save, or press Enter while Save is highlighted, to save the updates. Select Save & Exit, or press Enter while Save & Exit is highlighted, to return to the Rx Processing screen.
If a prescriber has similar information to another prescriber, the Copy function can be used. While in Edit Prescriber, load the prescriber you want to copy from, then select Copy. All information will carry over except Name, Quick Code, and Remark. Enter the required fields, then select Save or Save & Exit to complete the process.
A prescriber can be deleted only if they have not been used to fill a prescription.
To delete, ensure Edit Prescriber is selected, enter the prescriber’s name, press Enter, then select Delete and confirm by choosing Yes.
To clear all data displayed on the screen, select Cancel or press Enter while Cancel is highlighted.
Field Explanations
Prescriber Identifiers
DEA Number: Enter the prescriber’s DEA number. If unknown, use AA0000000 or BB1111111.
DEA Extension (optional): Enter the DEA extension, typically used by hospital prescribers.
State License # (optional): Enter the prescriber’s state license number.
DPS # (Texas only): Department of Public Safety number required in Texas.
NPI #: Enter the prescriber’s NPI number. An NPI lookup is available from this field.
Medicaid MMIS # (optional): Enter the prescriber’s Medicaid number (state‑dependent).
Medicare U PIN # (optional): Used for Medicare prescription billing.
Refill Request Method: Indicates the prescriber’s preferred method to receive refill requests. Can select from Best Available, Fax, Telephone. Best Available represents that requests should be sent electronically, but can still be sent by fax of phone if needed.
Professional Details
Profession Code (optional): Indicates prescriber type; availability varies by state.
AMA Specialty Code: Indicates the prescriber’s specialty.
Clinic Name: Enter the clinic the prescriber is associated with.
Location Code (optional): Enter the NPS‑assigned prescriber location code.
Electronic Prescribing (SureScripts)
The options below are typically populated automatically during the SureScripts prescriber directory update when the prescriber is an eligible partner in the SureScripts network. If the directory is not updating, these fields may be entered manually to flag the prescriber as an ERx prescriber. During the next directory update, these fields will update automatically.
SureScripts SPI #: Enter the prescriber’s SPI number, if applicable.
Service Level: Select supported services (New, Refill, Change, RxFill).
Missing service levels can prevent sending or receiving refill requests make sure the prescriber has this service level in SPI.
Version: Displays the ERx version (3.0, 4.0, or 4.2).
E‑Rx Active Start: Displays the activation date.
E‑Rx Active End: Displays the scheduled end date.
Additional Options
Suboxone/Detox DEA # (optional): Enter if a separate DEA number is provided.
340B Prescriber: Indicates whether the prescriber is 340B‑eligible.
Allow Auto PA Req: Enables automatic prior authorization requests.
Activate Prescriber: Used to activate or deactivate the prescriber record.
Setting a prescriber to inactive prevents use on new prescriptions but does not remove them from existing RX history.
Groups: View or manage prescriber group assignments.
Miscellaneous
E‑mail ID (optional): Enter the prescriber’s email address.
Quick Code (optional): Enter a short code for quick prescriber selection.
Remark (optional): Enter internal notes for the prescriber.
Supervising Prescriber (optional): Enter name of supervising prescriber in prescriber file.
If the supervising prescriber is saved in the Prescriber File, it will automatically appear when filling new prescriptions. If the supervising prescriber is selected using S in Rx Processing, it applies only to that specific Rx number.
Documents
The Documents screen displays all documents created or attached to a prescriber. It supports documents scanned using a BestRx‑compatible scanner. If your pharmacy does not have the RX Scanning/Document feature enabled, contact BestRx for more information.
To add a document, select the Add Document button.
Enter a name and any remarks for the document, and select optional scan settings such as double‑sided, multi‑page, or color scanning.
Scan
Select Scan to begin scanning. Once complete, the scanned image displays on the right side of the screen.
Capture
Documents or photos can be captured using a camera connected to the computer, as long as the system recognizes the device. Select Capture to begin image capture.
You can change the camera using the Device Name drop‑down if the image is not displaying or if a different device is needed. The image Resolution can also be adjusted using its drop‑down menu. To modify additional camera settings, select the Settings gear.
Import
Documents can also be imported into BestRx from your computer by selecting Import Saved Documents.
Generating response
The following file formats are supported: PDF, GIF, BMP, JPG, JPEG, PNG, TIF, TIFF, and TXT. Select Add Documents for each file you want to import, then select Finish Importing. To return to the previous menu, select Back to Scan.
You can view, print, download, fax, or delete documents by selecting a document from the list and choosing the desired option below the preview pane.
Faxing (Internet Faxing customers only)
Fax controls appear in each document tab and are enabled once a document is selected. Faxing may also be accessed from the dashboard or notification bar, if configured. Selecting Fax opens a window where you can enter recipient details, add a coversheet, attach additional documents, or scan documents to include. Select Preview & Send to review the fax, or Send to transmit it.
The Documents feature supports duplex scanning. Use the < and > buttons to scroll through pages, and the + and – icons to zoom in or out.
Select Options to view scanner device settings.
To return to the Patient Info screen, select Back to Main or press F8 on your keyboard.
