1. Reports

This menu hosts various reports related to dispensing or delivery of prescriptions.

1. HIPAA Signature Log

To access the HIPAA Signature Log, click on Dispense / Delivery -> 1. Reports -> 1. HIPAA Signature Log.

When a pharmacy dispenses a patient's first prescription, they are required to collect a HIPAA signature. The HIPAA Signature Log allows the pharmacy to search these records. Simply choose how to search for the signature with the "Search Using" drop-down box; the options are by patient name or date signed. Fill out the patient's name or the date, and click "Generate Report".

 

To print the report page, click the "Print" button or press the "Enter" key when the "Print" button is highlighted.

 

The user may also clear all the data displayed on the screen by clicking the "Cancel" button or by pressing the "Enter" key when the "Cancel" button is highlighted.

2. Non Picked Up Prescriptions

To access the Non Picked Up Prescription Signature Log, click on Dispense / Delivery -> 1. Reports -> 2. Non Picked Up Prescriptions.

The Non Picked Up Prescriptions report allows the pharmacy to search and obtain details on non-picked up prescriptions. You have the ability to search the report by "Fill Date", "Patient" or "Plan" by choosing the appropriate in the drop-down box. After making your selection, fill out the appropriate fields to search by and click "Generate Report". The report can also be filtered by Plan Type and/or Drug Schedule.

The prescriptions that come up on the report are currently marked as prescriptions that are to be picked up. If any of these prescriptions need to be removed from the queue, simply select them and click the "Remove from Pickup Queue" button. These prescriptions will not show up in the E-Signature program or the POS program, and if they require to be signed for will have to be re-saved by pulling the prescription up in Edit mode and Saving the prescription.

The report can be sorted any time by simply clicking the column name above the records you'd like to sort by.

To print the report page, click the "Print" button or press the "Enter" key when the "Print" button is highlighted.

If you'd like to export the report to a file, click the "Export Data" button or press the "Enter" key when the "Export Data" button is highlighted. NOTE: Export to Excel only works on full versions of Microsoft Excel/Office. It does NOT work with the Office Starter 2010 and other starter/third party versions. If using any one of these, export to a Comma Separated Values (CSV) instead.

The user may also clear all the data displayed on the screen by clicking the "Cancel" button or by pressing the "Enter" key when the "Cancel" button is highlighted.

3. Picked Up Signature Log

 

 

 

The Picked Up Signature Log report allows the pharmacy to search and obtain details on picked up prescriptions. You have the ability to search the report by "Fill Date", "Pickup Date", "Patient & Fill Date", "Patient & Pickup Date", "Plan & Fill Date", "Plan & Pickup Date", "RX Number", "RX & Fill Date", "RX & Pickup Date" by choosing the appropriate in the drop-down box. After making your selection, fill out the appropriate fields to search by and click "Generate Report".

The report can be sorted any time by simply clicking the column name above the records you'd like to sort by.

To print the report page, click the "Print" button or press the "Enter" key when the "Print" button is highlighted.

The user may also clear all the data displayed on the screen by clicking the "Cancel" button or by pressing the "Enter" key when the "Cancel" button is highlighted.

4. Rx Pickup Information Report

 

 

The Rx Pickup Information reportr allows the pharmacy to find out exactly who picked up a prescription in question, if the option to require so (Prompt for singer info on Delivery Pad) is selected in Pharmacy Setup Misc page 2 or is otherwise required through BestPOS. You can search either by "Fill Date" and selecting a number of patient to search by, or by "RX Number" and entering the number upon making the selection. Choose whether or not you'd like to print the drug name with the "Print Drug Name" drop-down box. When ready, click "Generate Report".

The report can be sorted any time by simply clicking the column name above the records you'd like to sort by.

To print the report page, click the "Print" button or press the "Enter" key when the "Print" button is highlighted.

If you'd like to export the report to a file, click the "Export" button or press the "Enter" key when the "Export" button is highlighted. 5. Consent Signature Log

 

 

The Consent Signature Log is meant to display information in a report format when patients sign/decline consents; these consents can be set up in the Consent File. under Misc > Interface Setups > Patient Consent > Consent File.

The report can be generated by Name, or by Date Signed with a date range selection available. It can also be filtered for Consent Types, and can be grouped by Patient by selecting the proper option. It can be sorted at any time by clicking the corresponding column header.

To print the main report page, click the "Print" button or press the "Enter" key when the "Print" button is highlighted. If you only desire to print from the summary tab, choose the "Print Summary" instead.

The user may also clear all the data displayed on the screen by clicking the "Cancel" button or by pressing the "Enter" key when the "Cancel" button is highlighted.

 

6. Auto Refill Consent Signature Log

Effective July 1st, 2022, California requires pharmacies to obtain consent for automatic refills of prescriptions. To help comply with this law, BestRx will prompt the pharmacy to ask for patient consent to enable auto refills on every prescription, and for refills that have been changed from the original prescription. The patient signs to confirm their consent, and those signatures are stored in the Auto Refill Consent Signature Log.

 

To view consent signatures, select your search criteria with the Search Using field, and fill in the Dates, Rx Number, and/or Patient you are searching for, and click Generate. The report will display the results meeting the requirements you selected, listing the Rx number, patient, drug, signature date, whether consent was given, and the signature image. The report can be printed out using the Print button.

 

If consent was previously obtained, but a change was made to the drug, drug strength, dosage form, or sig direction on the prescription, consent will be dropped for that prescription. The next time the prescription is dispensed, the patient will be prompted for consent again. The consent signature log will include information on the changes that were made to the prescription that resulted in consent to be collected again.
