This menu will allow the user to add and modify users, user passwords, preferences and access rights pertaining to various functions of the BestRx program.
A. Add/Update User
Accessing the User File
To access the User File screen, click on Administration -> 1. User Profile -> A. Add/Update User.
The User File requires you to first input a password to access. This is the same password you use to log into BestRx. Type the password and click the Authorize button. Alternatively you can click Cancel to exit this screen.
Once you have entered in your password, you will see the list of users for your pharmacy.
Adding a New User
To add a new user, make sure the Add New User option is selected.
Enter in the name of the User and User Name. Enter and confirm your password. For New Jersey pharmacies or any pharmacy that is using workflow electively, enter and confirm the PIN. All other information is optional unless required by your state regulations.
BestRx users can also opt into utilizing a biometric device for fingerprint scanning, if a compatible device is used. Please contact us for an up to date listing of compatible biometric devices, and if you already have one that was previously installed with the help of BestRx, see here for instructions on how to set it up in the BestRx software.
You also have the ability to deactivate users by changing the Active User flag. For Updox users, you also have the ability to link a specific Updox user ID to a BestRx user in the system.
Remember to click the "Save" button or press the "Enter" key when the "Save" button is highlighted to save the vendor information. Click the "Save & Exit" button or press the "Enter" key when the "Save & Exit" button is highlighted to save the information and go back to the previous screen.
To edit an existing user, a user must first be selected. Enter in the whole user ID or name to bring up the user’s information or enter in part of the users ID or name and press the "Enter" key to bring up a list of users; alternatively to choose the user, click anywhere on the row of the user. When a user is chosen, edit the appropriate information then click the "Save" button or press the "Enter" key when the "Save" button is highlighted to save the vendor information. Click the "Save & Exit" button or press the "Enter" key when the "Save & Exit" button is highlighted to save the information and go to the Rx Processing screen.
To delete an existing user, make sure the user is first selected. Bring up the user in the same manner as when editing an existing user. Then click the "Delete" button or press the "Enter" key when the "Delete" button is highlighted. When the system asks “Are you sure you want to delete this record”, click the "Yes" button to delete the user.
The user may also clear all the data displayed on the screen by clicking the "Cancel" button or by pressing the "Enter" key when the "Cancel" button is highlighted.
User Types
Users can have different levels of control based on their User Type. This setting is independent from the User’s Access Rights.
Normal: Normal users have the ability to operate BestRx based on the access rights assigned to their user. They cannot manage other users or access rights.
Admin: Admin users have access to operate BestRx as well as manage users and access rights.
Super Admin: Super Admin users have access to operate BestRx, manage users and access rights, as well as other restricted features such as Scheduled Notifications and Employee Time Clocks.
Store Owner: Store Owners have all of the access rights of a Super Admin, plus addition access rights for features we will be releasing in the future.
Normal users are only able to see the option to be a Normal user. Admins and above can see all of the options, but require the daily password to be able to set themselves to a higher leveled User Type. Please call BestRx’s support team for assistance.
On the User File screen, users will see a lock icon next to any profile that ranks above them.
Fingerprint Authentication
BestRx allows for each user in the system to register a fingerprint for the ease and convenience of quickly signing in or approving tasks in BestRx.
The authentication process is very simple to set up pending a compatible biometric fingerprinting device has been installed on the system. If you don't already own a compatible device, please contact us for information on up to date devices so that you can purchase the correct equipment.
To enable biometric authentication, first pull up the user by going to Administration > 1. User Profiles > A. Add/Update User.
Enter the administrative password, then select the appropriate user for which to enable this feature.
With the user selected, click Register as displayed in the example below.
After clicking Register, the software will display a prompt asking the user for the next interaction. The person will have to successfully place their finger on the device four (4) times to register it, and can setup up to two fingers.
Continue to place your finger on the device until the prompt tells you it's finished or otherwise.
When the user has been enabled for fingerprint authentication, their user file will display the registration status as shown above.
The person can choose to register another finger in the same way
When this user has been processed, simply Save & Exit to leave this screen or press Save to work with another user's file.
The person can now utilize their fingerprint inside of BestRx on PCs with a biometric scanner attached for verification!
Generating/Managing Employee Badges
Authorized users can print badges that employees can use to log in to BestRx, as well as to authorize specific actions when user authentication is required.
To generate an employee badge, navigate to the Administration dropdown menu. Then select ‘User Profiles’, followed by option A, ‘Add/Update Users’. Because this is a restricted area, you will be prompted to enter your password before proceeding.
Once on the User File home screen, you’ll see a list of users assigned to your pharmacy. You can generate an employee badge for an existing user by clicking in the row they’re listed on. This will bring up a new screen with the user’s details populated. The employee badge options will be displayed in the lower right.
The badges are available in two formats, QR code or barcode. When selecting the type of badge you want to use, here are some things to keep in mind:
The QR code option is recommended because it’s the most secure. However, it requires a 2D scanner to be read.
If you do not have a 2D scanner, the barcode option can still be used. However, it is less secure than the QR code.
After determining which type of badge you want to create, click in the corresponding field to preview it.
From the preview popup, you can adjust the size of the badge using the width and height fields at the top. Once finalized, employee badges can either be printed or saved as a PDF.
As we mentioned earlier, only authorized users can generate employee badges. If a non-authorized user attempts to print a badge, the following error message will be displayed:
Only a Store Owner user can change the access rights for printing employee badges. To adjust access, the store owner will need to update the minimum level required to print employee badges. This setting can be found on the store owner’s user profile, in the lower left corner, as pictured below.
Using the minimum level for printing dropdown menu, the owner can select from the following options:
Admin: Which allows Admins to print badges for other Admins and Normal users, including themselves.
Super Admin: Which allows Super Admins to print badges for other Super Admin, Admin, and Normal users, including themselves.
Store Owner: Which only allows the store owner to print badges for other users.
A Title field has also been added below the user’s email address, which can be printed on the employee’s badge, if the box to the right of the field is checked.
You can also delete a badge if needed, like when an employee no longer works at the pharmacy. Just click the ‘Delete Badge’ in the lower right to remove it. Once deleted, the badge can no longer be used to access BestRx.
All login/authorization screens have been updated to include a QR code badge scan icon as well, as pictured below.
B. Change Password
To access the Change Password screen, click on Administration -> 1. User Profile -> B. Change Password.
The User ID and User Name will appear automatically in the corresponding fields for the current user. To change the password, type in the current password, the new password, and re-type the new password to confirm in the appropriate fields. When finished, click the ‘Change Password’ button or press the "Enter" key when the ‘Change Password’ button is highlighted.
The user may also clear all the data displayed on the screen by clicking the "Cancel" button or by pressing the "Enter" key when the "Cancel" button is highlighted.
If the current user is allowed to add/update users (on the User File screen), he/she can change any user’s password from the User File screen. To do this, bring up the user in Edit mode and type in the new password in the New Password and Re-type New Password fields and click either the "Save" button or the "Save & Exit" button.
C. User Preferences
To access the User Preferences screen, click on Administration -> 1. User Profile -> C. User Preferences.
User Preferences
This screen allows the user to tailor how the software behaves just for their individual user account. These will apply per account only and will have to be changed for every account you'd like to make changes for.
Mouse Over: Select whether to turn the MouseOver on or off. This controls things like tooltips on the profile screen and any other location where you can hover to see a tooltip.
Mini Profile: Select whether to turn the Mini Profile on or off. The mini profile displays some of the most recent prescriptions when searching/entering the medication for prescription currently being filled.
Default Zero for Refills: Select whether or not the Refill field on the Rx Processing screen should default to zero.
Transmit Claims Without Prompting: Select whether or not the system should transmit claims without prompting the user. This takes one step out of the process and removes the requirement to confirm which prescription(s) to transmit.
Action on Response Screen: Select the appropriate action on the response screen:
Display the claim response and prompt for the label/update selection
If claim is approved then print label and continue onto the next process
Same as #2 plus do not stop even though the claim is rejected
Print Duplicates: If 2 or 3 is selected in the Action on Response Screen field (above), select whether the system should print duplicates of the prescription labels.
Auto-select Previous Patient: Select whether or not pressing the "Enter" key should bring up the previous patient when the focus in the Patient field and the name is displayed underneath the field on the Rx Processing screen or the Patient Info screen.
Auto-select Previous Prescriber: Select whether or not pressing the "Enter" key should bring up the previous prescriber when the focus in the Prescriber field and the name is displayed underneath the field on the Rx Processing screen or the Prescriber File screen.
Auto-select When 1 Match Found for Search: This option will auto select a record if only one result is found in a search.
Mouse action for additional Info on Rx Profile screen
This section refers to the Patient Rx Profile screen. Select whether the system should bring up additional information about the Rx number, Drug, Days, and Prescriber when the mouse is over each value or when the user right clicks on the value. If set to "Hover", this requires the "Mouse Over" option to be set to "Yes" as explained in the section above.
Remember to click the "Save" button or press the "Enter" key when the "Save" button is highlighted to save the information. Click the "Save & Exit" button or press the "Enter" key when the "Save & Exit" button is highlighted to save the information and go to the Rx Processing screen.
The user may also clear all the data displayed on the screen by clicking the "Cancel" button or by pressing the "Enter" key when the "Cancel" button is highlighted.
D. Access Rights Management
To access the Access Rights Management screen, click on Administration -> 1. User Profile -> D. Access Rights Management.
If the current user is allowed to add/update users (on the User File screen), he/she can change any user’s access rights.
The Access Rights Management file requires you to first input a password to access. This is the same password you use to log into BestRx. Type the password and click the Authorize button. Alternatively you can click Cancel to exit this screen.
To change access rights for a user, enter in the whole user ID or name to bring up the user’s access rights information or enter in part of the users ID or name and press the "Enter" key to bring up a list of users. To choose the user, click anywhere on the row of the user.
Use the mouse to change the user’s access rights to all the files, profiles, reports, etc. You can click on the headers of this manual for reference to the individual pages. Remember to click the "Save" button or press the "Enter" key when the "Save" button is highlighted to save the information. Click the "Save & Exit" button or press the "Enter" key when the "Save & Exit" button is highlighted to save the information and go back to the previous screen.
The user may also clear all the data displayed on the screen by clicking the "Cancel" button or by pressing the "Enter" key when the "Cancel" button is highlighted.
