Controlled Rx Reporting

The process for submitting control reports varies by state, and we update the software as laws change to ensure compliance.

In Controlled Rx Reporting, you can submit dispensed‑controlled reports to the appropriate state and resolve any errors returned by the reporting agency. You can also configure when reports are sent to the PDMP (for example, reporting at dispense time). Typically, reports are transmitted 24–48 hours after the action.

To access the Controlled RX Reporting screen, click on Administration 5. Controlled RX Reporting.

To generate a Controlled Prescription Report, enter the start and end dates in the From and To fields. Then click Generate or press Enter while the Generate button is highlighted to display prescriptions that include controlled drugs.

The report will generate the Rx # of the controlled drug and fill and dispense date additional information and any errors that may appear highlighted in pink.

This is test data but similar errors will appear in red, you’ll need to select them to correct the information.

For most states, the agency responsible for controlled reporting returns error reports that can be corrected directly in BestRx.

More Options

Reports to PDMP if Rx is: Determines when a controlled prescription appears in the report (Dispensed – highly recommended, Verify Before Dispense, Verify Before Fill, or Label Printed).

Search by Fill Date: Searches prescriptions within the selected fill date range. If prescriptions do not appear, select Yes to expand the results.

Error Correction & Rxs w/ Missing Info

Click the error fields highlighted in pink and correct the values. When you select a field, a pop‑up box appears to enter the corrected information.

Note: Florida does not require a phone number to be submitted, but the field must be left empty for the prescription to be accepted.

Rxs w/Missing Info

Prescriptions highlighted in pink have incomplete information and also appear in the Rx’s with Missing Info tab, allowing them to be reviewed separately from the rest of the report.

A pop‑up window appears when you select the pink‑highlighted field that needs correction, allowing you to update invalid or missing values (for example, an invalid prescriber DEA or a required field left blank).

Enter or correct the error and click Save. You’ll return to the previous screen to fix any remaining issues.

Send Report

When all errors are resolved or you want to report the data, click Send Data to upload the report. We’ll submit it to the appropriate agency for you. After submission, you’ll be returned to the standard report screen, as shown below.

If there’s ever concerns of prescription data being reported you can always reference this report.

Auto-Report PDMP Data

Controlled Prescription Reports automatically report to PDMP when Auto-Report PDMP Data is set to Yes in File L. Pharmacy Setup PDMP Reporting. Dispensed prescriptions (recommended default) are reported within 24–48 hours. Additional states can also be added for auto-reporting.

Printing

To print the list, click Print or press Enter while the Print button is highlighted.

To export the report, click Export Data or press Enter when the button is highlighted. Note: Exporting to Excel requires a full version of Microsoft Excel/Office. It does not work with Office Starter 2010 or other starter/third‑party versions. If using one of those, export as a CSV instead.

The user can clear all data by clicking Cancel or pressing Enter when Cancel is selected.
