B. Inventory Report

To access the Drug Inventory Report screen, click on Inventory -> B. Inventory Report.

The Drug Inventory Report screen allows the user to view an inventory report of the drugs in the pharmacy. The user can narrow down the report by the beginning of a drug’s name or NDC number, control class, price level, quantity of the drug on hand, the last fill date of the drug, whether the drug is brand or generic or both and/or whether the drug is an RX, OTC or both.

 

To generate a drug inventory report of all drugs, select "All Quantities" in the "Show if QOH is" field using the drop-down list and leave all other fields empty. Then, click the "Generate Report" button or press the "Enter" key when the "Generate Report" button is highlighted to obtain the inventory report.

 

  • To narrow down the report by drug name or NDC number, use the dropdown list to select "Drug Name" or "Drug NDC" in the Only Show Where field and enter in the beginning of the name or NDC number in the begins with field.

  • To narrow down the report by price level, use the dropdown list for the Price Level field to select the appropriate price level.

  • To narrow down the report by quantity of the drug on hand, use the dropdown list for the "Show if QOH is" field to select the appropriate quantity-on-hand amount.

  • To narrow the report by control class, use the dropdown list for the Show Control Class field to select the appropriate control class.

  • To narrow down the list according to the last fill date, enter in the appropriate date in the Show drugs last filled on or after field.

  • To narrow the report by brand/generic designation, use the dropdown list for the Brand/Generic field to select the appropriate designation.

  • To narrow down the list according to prescription/over-the-counter designation, use the dropdown list for the Rx/OTC field to select the appropriate designation.

 

The user may narrow down the list using as many restrictions as he/she likes. When finished, click the "Generate Report" button or press the "Enter" key when the "Generate Report" button is highlighted to obtain the inventory report.

 

Aside from its primary functionality, the report is very useful in adjusting Current Quantity on Hands by enabling the user fast interaction with the field. By simply clicking the corresponding field to the drug being adjusted, the software pops up a box that allows for modification of the entry without leaving the generated report.

After entering the appropriate quantity, you can simply repeat for any other drug to be adjusted. This allows for inventory adjustments/corrections to be completed much faster instead of having to do a manual update to each drug record at a time.

 

To print the report, click the "Print" button or press the "Enter" key when the "Print" button is highlighted.

 

There are specialty formatting options available if you need this report in a specific format. Simply click the "Print Special" button or press the "Enter" key when the "Print Special" button is highlighted to open the extra menu. Currently we have an option to print a DEA Inventory Report as well as a Texas Controlled Substance Inventory Worksheet.

 

If you'd like to export the report to a file, click the "Export Data" button or press the "Enter" key when the "Export Data" button is highlighted. NOTE: Export to Excel only works on full versions of Microsoft Excel/Office. It does NOT work with the Office Starter 2010 and other starter/third party versions. If using any one of these, export to a Comma Separated Values (CSV) instead.

 

Click the "Clear" button or press the "Enter" key when the "Clear" button is highlighted to clear all data displayed on the screen.
