Manage Rx Custom Queues
This feature allows you to create custom queues to group prescriptions for faster and more efficient processing. Workflow Triggers can be set in BestRx to automatically place prescriptions into custom queues based on defined actions. For details, see Configure Workflow Triggers.
Custom queues created here can also be displayed on the Dashboard.
To access the Manage Custom Queues screen, click on Workflow 2. Manage Custom Queues.
To add a new queue, click "Add New Queue". To edit an existing queue, simply select it from the list.
Manage Custom Queue Settings
Queue Name: The name assigned to this custom queue.
Process Mode: This indicates what sort of processing this queue will undergo. Options include:
Edit Rx: process where the prescriptions are simply bulked for editing.
Refill Mode: an automatic Defer type queue as it's meant to hold those refills until they are ready to be refilled.
Send Prior Authorization Request: BestRx will automatically trigger a PA request window.
Verify Data Entry (PV1): triggers PV1 verification.
Verify before Fill: will automatically trigger the Verify before Fill.
Verify before Dispense: will do the same but for Verification before Dispensing.
Print Label: Will print labels from this queue.
Transmit To Insurance or Reverse from Insurance: to directly transmit/reverse prescriptions to the insurance from the designated queue screen.
Transfer Out: to be able to transfer out to another pharmacy from this queue.
Print Drug Leaflets: to have a designated queue to print out leaflets.
Auto-Process with Night Tech: Indicate if you'd like this queue to be included in the Auto Process with NightTech functionality of processing prescriptions automatically in bulk during regular business and/or night time hours. Any prescription in the queue would then be processed either upon manual execution of the Auto-Process from the profile screen, or the nightly NightTech process that occurs. Please keep this in mind when selecting queue options like printing labels, as these queues will run automatically and process everything without prejudice unless normal issues are encountered like claim rejections and such.
Queue Type: There are two types of queues. The Normal Queue immediately places prescriptions into the queue upon action. The Defer Date Queue, on the other hand, prompts for a defer date, allowing prescriptions to be held until that specified date. This helps streamline workflow by only showing deferred prescriptions when they’re due, reducing clutter and unnecessary visibility.
Update Fill Date to Defer Date gives you the ability to update the fill date when deferring the prescription
Place Rx on Hold: ‘Yes’ or ‘No’ gives you the ability to place this prescription on hold.
Remove Rx from Queue after: This will indicate if the prescription will be removed from the queue manually or automatically, and if automatically then under what condition.
The current options are - Manually Remove, Rx is Saved, Verified Data Entry (PV1), Insurance Claim is Approved, Insurance Claim is Reversed, Prior Auth Request is Sent, Label is Printed, Leaflet is Printed, Verified before Fill, Verified before Dispense, Rx is Ready for Dispense, Rx is Dispensed, Returned by Patient, or Rx is Transferred.
After removal, add to this queue: Select a queue where the prescription should be moved after it is removed from the current queue.
Remove from queue if Rx is reversed: Enable this to automatically remove prescriptions from the queue if they are reversed.
This option does not apply to Refill, Send Prior Authorization Request, Verify Data Entry (PV1), Transmit to Insurance, Reverse from Insurance, Transfer Out, Refill Queue, Print Drug Leaflets Process Modes.
Auto Remove Rx from Queue: Automatically remove prescriptions based on time criteria:
If Rx Fill Date is older than a specified number of days
If Rx Written Date is older than a specified number of days
If Rx has been in the queue for more than a specified number of days
New Rx Queue
The one queue that is not listed here and is automatically created in the system is the New Rx Queue.
It allows prescriptions to be created without assigning an Rx number, preserving the correct sequence. These act as placeholder prescriptions and are automatically given a Defer Date.
You can set a Promise Time and assign a priority level of “Normal” or “High” before saving in BestRx.
Once prescriptions are created without an Rx number, they appear in the New Rx queue on the dashboard. If they are future-dated, you can adjust the Defer Date to control when they become visible in the queue.
Adding Rxs to the Custom Queues
When prescriptions are added to custom queues, available options depend on the settings of both the prescription and the queue. Prescriptions can be added from either the Processing Screen or the Patient Profile.
In the Processing Screen, enter the prescription details, then click the ‘Q’ button next to Rx Status to select the desired queue.
In the Patient Profile, select the prescriptions, click “Add to Queue”, then click “Process Rxs” to open the custom queue prompt and choose the desired queue.
New Rxs
To add a new prescription to a queue during initial entry whether written or ERX click the "Q" button next to Rx Status on the main processing screen before saving. A prompt will appear to enter a Defer Date for the prescription.
After selecting a date, click "Assign Defer Date" to place the prescription into the New Rx queue. It will be available for processing from the Process New Rx & Custom Queues screen by default. The prescription will also appear as queued in the regular Patient Profile (F6), where it can be processed like any other prescription. An Rx number will be assigned during processing.
Refills
Refill prescriptions are considered Deferred by default, as they are typically filled at a later time. You can add a prescription to a Refill-type queue by either clicking the "Q" button next to Rx Status on the main processing screen, or by selecting the prescription(s) from the Patient Profile (F6) and choosing "Add to Queue." A pop-up window will appear to select the appropriate queue.
In the example above, the Refills queue is the default refill queue, and the prescription is correctly formatted to be added to it. After selecting the queue, the window will update as shown below.
Select a date, then click "Assign Refill Date" to place the prescription into the Refill queue. It will then be available for processing from the Process New Rx & Custom Queues screen.
Edits
Prescriptions can be added to an Edit-type queue, which defaults to a Normal Queue but can also be set as a Defer Queue with the same defer options as previously described. Edit queues have a unique condition for automatic removal, which is configured when the queue is created or edited.
Prescriptions can be added to an Edit queue by clicking the "Q" button next to Rx Status on the main processing screen or by selecting them in the Patient Profile (F6) and using the "Add to Queue" option. A pop-up window will appear to select the appropriate queue.
In this example, after adding the prescription(s) to the "Edits for week of 07/18" queue, a confirmation will appear.
The prescription(s) will now be available for processing from the Process New Rx & Custom Queues screen.
Defer Date Queue
Defer Date queues can be created in Manage Custom Queues. When Update Fill Date to Defer Date and Place Rx on Hold are enabled, prescriptions can be added to the defer queue. They will become available for filling on the selected defer date.
When a prescription is selected, you can add hold remarks and click "Add to Queue." The prescription will then be viewable from the Dashboard Shortcuts or the Process New Rx & Custom Queues screen.
