5. Transaction Log by Family
Overview
The Transaction Log by Family screen enables users to generate a log of all transactions for a specific family or patient within a selected date range. The Total amount displayed reflects only the transactions within the chosen date range. Transactions outside this range are not included in the total. To ensure a complete transaction log, select a date range covering the entire period since the pharmacy began using the in-house charge account.
To obtain a listing of transactions based on a family, click on Acct Receivables 5. Transaction Log by Family.
To generate a transaction log:
Select Dates: Enter the From/To dates manually or use the calendar icon.
Search for Patient: Type the full patient name to display family information, or enter part of the name and press "Enter" to view a list of matching patients.
Select Patient: Click the patient's row or enter their line number in the field below the list and press "Enter."
Filter Options: Choose to include Purchases, Payments, Credit Adjustments, or Debit Adjustments by selecting the relevant options.
Generate Log: Click the "Generate Log" button or press "Enter" when it is highlighted.
To print the log, click the "Print" button or press the "Enter" key when the "Print" button is highlighted.
If you'd like to export the report to a file, click the "Export Data" button or press the "Enter" key when the "Export Data" button is highlighted.
NOTE: Export to Excel only works on full versions of Microsoft Excel/Office. It does NOT work with the Office Starter 2010 and other starter/third party versions. If using any one of these, export to a Comma Separated Values (CSV) instead.
The user may also clear all the data displayed on the screen by clicking the "Cancel" button or by pressing the "Enter" key when the "Cancel" button is highlighted.
Editing a Transaction
Transactions can be edited if they are not linked to a prescription, a POS transaction, or a transaction that has already been rolled over.
If these criteria are met, a pencil icon will appear on the right side of the transaction line. Clicking this icon opens the Edit Charge Account Transaction screen, where you can adjust the transaction date, amount, code, and remark, or delete the transaction if necessary.
A transaction can be deleted if the user has the necessary access rights. Deleted transactions cannot be recovered.
By default, this function is set to "No Access" for all users. To allow a user to edit transactions, grant them permission on the Access Rights Assignment page.
