Print Charge Account Statements

The Print Charge Account Statements screen allows the user to generate statements for families and patients who have an outstanding balance or credit on their account, and print statements to mail to these customers. These statements are formulated very much like credit card statements if the process is correctly completed each month by rolling over balances and printing the statements.

To generate the statements, first select the date for which you'd like to print transactions through. You can do so by manually changing/typing the appropriate D/M/Y fields, or by clicking the calendar icon and selecting the individual day. By default this information is automatically selected by the software to pick the full previous month (meaning that the month of December would not be selected on December 31st; only on January 1st through January 31st).

 

The user can narrow down the report by choosing from the available options.

  • You can choose whether or not print statements with zero balance using the dropdown "Yes/No" box.

  • You can also choose to display statements with Credit Balance using the dropdown "Yes/No" box

  • You can also select if you'd like to display statements with No New Transactions using the dropdown "Yes/No" box.

  • If you'd like the summary to display, select it from the drop-down list in the Print Account Summary Field using the dropdown "Yes/No" box.

  • If you'd like to print due dates on the statement, select Print Due Date using the dropdown "Yes/No" box and select the desired date in the calendar field.

  • You can also choose to display minimum payment by selecting it from the drop-down list and choosing the amount in the field to the right.

  • You can further narrow the report down to only patients in a specific Nursing Home by selecting the facility from the drop-down list.

  • You can also choose to Group By Patient in order to break down prescriptions for individual patients when utilizing families or larger groups for charge accounts. This allows the function to print one main statement for the account while still retaining individual patient's prescriptions in a group for easier visibility.

  • You can also narrow it down by specific Delivery Group by selecting the group from the drop-down list.

  • If you'd like to add a custom message to the statements, enter in the message to be displayed at the bottom of the statement in the Footer Line 1 or Footer Line 2, if applicable.

 

Click the "Generate Statements" button or press the "Enter" key when the "Generate Statements" button is highlighted to obtain the statement.

 

After successfully generating the report by the above criteria, simply click the "Print Statements" button or press the "Enter" key when the "Print Statements" button is highlighted to print statements. Each family’s or patient’s statement will print out separately. There will also be a payment stub at the bottom of the statement. This will allow you to more easily identify which account a certain payment should go towards. After printing the statements, the system will ask to roll over the balances to next month. The act of rolling balances over takes all the transactions from the current month, and sums them up under one concise "Balance Forwarded from Last Month" line item; this way the statements are clean and neat, and only display line item charges for the current balance period. Without rolling over, the statements would display every transaction, would be very messy, and most importantly would take a lot of pages to print each month.

If you'd like to roll over balances without printing, simply click the "Roll Over Balances w/o Printing" button instead of "Print Statements".

 

This screen will also allow the user to Reprint Older Statements by clicking the link in the upper right side of this window. The user can then search by date or family name for older statements in the archive as displayed below.

After expanding any of the available dates, simply select the patient to display a PDF version of their statement on the right side of the window. From there you can use the PDF print control (hover above the top of statement) to print the older statement(s). You can also Save the statement to an external location by clicking the Save icon instead of the Print icon. To go back to the previous menu, simply click "Go Back to Printing Current Statements" in the top right.

 

The user may also clear all the data displayed on the screen by clicking the "Cancel" button or by pressing the "Enter" key when the "Cancel" button is highlighted.
