Overview

The LTC Facility File is a record manager for all facilities in the BestRx system. By default this screen displays all records when this screen is first opened. The user can edit any record by clicking it from the list, or checking the "Add Facility" radio box to add a new record.

To access LTC Facility File, click on LTC ➡️ 1. LTC Facility File

Adding or Editing a LTC Facility

When adding a new facility make sure the "Add Facility" option is selected towards the top left of the screen.

This screen will facilitate the ability to add or edit a LTC facility record in the system.

LTC Facility Info

  • Facility Name: Enter the name of the facility here.

  • Facility Code: This field is something that certain LTC facilities or pharmacies will use to designate between facilities. Very few pharmacies will need to use this field. If the pharmacy does not know the facility code, then they most likely do not need to use it or should contact the facility for the code.

  • Facility ID: The facility code is used when transmitting to insurance companies.

  • Contact Name: Enter the primary contact name at the facility.

  • Address Line 1/2: Enter the address of the facility.

  • City / State / Zip: Enter the City, State and ZIP code of the facility.

  • Phone: Enter the primary phone number of the facility.

  • Alt Phone 1/2: Enter alternate phone numbers for the facility if applicable.

  • Fax: Enter the facility's fax number.

  • Default Attending Physician: Enter the default attending physician at the facility. This option will apply the default attending physician to all patients for which this facility's been selected. The Default Attending Physician is the physician that attends to the patients at the . In some cases, this will be the same prescriber that is writing prescriptions for patients, but in some cases it won’t. Many times, patients see their own physicians for checkups and prescriptions and all the attending physician does is to look over the patients while they are at the LTC facility. If this has the same physician that looks over all or most of the patients in the facility, then you would select a prescriber for this field. Otherwise, you would leave this field blank. If a prescriber is entered into this field, they will default whenever a patient is linked to this LTC facility in the Patient File.

  • Default Alternate Physician: Enter the alternate physician at the facility. This option will apply the default alternate physician to all patients for which this facility's been selected. The Default Alternate Physician is similar to the Default Attending Physician. The alternate physician is just that, an alternate for when the normal attending physician is not at the facility.

  • Remark: Enter any desired remarks for the facility.

  • Default Dispense Using: Choose the default dispensing method for the facility. The choices are No Default, Safety Caps, Easy Caps, Bubble Pack, Multi-Med Packs, Weekly Multi-Med Packs, Opus package, Dispill. This option will apply the default dispense method to all patients for which this facility's been selected.

  • Label Number: Indicate the label number to use as default label for all patients for which this facility's been selected.

  • Label Printer Name: Indicate which printer you'd like to use for printing labels for prescriptions that fall under this LTC facility. Default is to Use printer selected on "Workstation Setup" screen.

  • Label Paper Source: Indicate which tray you'd like these labels to print from.

  • CMS Part D Defined Facility: Indicate if the facility is CMS Part D Defined.

  • Price Code: Indicate if you'd like all prescriptions for this facility to adhere to a specific price code.

  • Default MAR Start Day of Month: Indicate which day should be the official start of the month date when dealing with MARs.

  • Allergies To Print on MAR: Indicate if you'd like to print Patient LTC, Regular Allergies, or both on the MAR form.

  • Pharmacy IDs to use for Billing: Indicate which pharmacy IDs to use when billing for this particular facility. If selecting LTC Pharmacy IDs, the facility will use whatever numbers are configured in the respective Nursing Home / LTC Setup Settings screen.


E-MAR Settings

  • E-MAR Type: Indicate the E-MAR type if applicable; currently supports BestRxWeb, QuickMAR, Sushoo, SimplerMAR, CorrecTek, Prescriber’s Connection, Medsupport, SteerMAR, and SureScriptsLTC. See the /wiki/spaces/~813395333/pages/2575630344 article for setup information.

BestRxWeb, QuickMAR, Sushoo, SimpleMAR, MedSupport, SteerlMAR, MedsOnTime, Therap

  • Show RX Status: Indicate if you'd like to display the RX status on the E-MAR website.

  • Show Drug NDC: Indicate if you'd like to display the drug's NDC on the E-MAR website.

  • Auto Send: Indicate if you'd like information to be automatically sent to the E-MAR provider.


Prescriber’s Connection and SureScriptsLTC

  • Auto Match Patients: Indicate if you would like to show the matched patient with the existing patient in the message when it is received by the pharmacy.

  • Auto Add Patient: Indicate if you’d like to allow auto-adding patients to your file when a census message is received. Will not work with resupply messages.

  • Send RxFill for Cycle Fill: Indicate whether to send an RxFill response to the facility.


CorrecTek

  • Host Name: The location of the FTP server.

  • Host Port: The port used for FTP communication.

  • Username: Username for the FTP server.

  • Password: Password for the FTP server.

When you have entered all desired information, click the ‘Save’ button to save the information or click the ‘Save & Exit’ button to save the information and go to the previous screen. Click the "Delete" button to delete the record from the file, click "Cancel" to clear the info. If at any point you'd like to discard and get back to the previous screen simply hit "Esc" key on your keyboard or click the "Exit" button.


Dose Packaging Setup

This tab allows for controlling time ranges used by the Dispill and Parata Pass interfaces.

  • Dispill Time Ranges: Default time range for the facility can be selected here using the corresponding fields. This should match the LTC facility time ranges used to ensure the medication is dispensed at proper times.

  • Parata Pass Time Translations: Parata pass handles time ranges slightly differently from Dispill; indicate what times are to be defined to the available ranges in the table.


Web E-MAR Setup

This screen allows the pharmacy to add/edit users for the BestRxWeb E-MAR service.

Before creating a user on this screen, ensure that the LTC Facility is set to E-MAR Type 'BestRxWeb' in the Facility Info tab.

The first user created will always by default be administrator, but the program allows for more than one administrator to exist in the system. To add a user simply click the "Add User" radial button; to edit a user simply select their name from the list.

  • First Name: Indicate the user's first name.

  • Last Name: Indicate the user's last name. Email: Enter the user's e-mail address.

  • Confirm Email: Confirm the user's email as entered above.

  • Type: Select the user type or administrator.

  • Status: Indicate whether or not the user is active.

After the user is saved, an email will be deployed with a temporary password and a link to change it. After the password is changed, the user will be allowed to log into the service's E-MAR website.

When you have entered all appropriate information, click the "Save Settings" button to save it. Alternatively you can click "Delete Settings" to remove the information. Clicking "Back to Main" will bring you back to the "LTC Facility Info" tab.


Documents

The Documents screen will display all the documents that have been created/attached to the particular LTC Facility

This currently supports any document that can be scanned with your BestRx compatible scanner.

To add a document, click the "Add Document" button; make sure the document you're adding is correctly placed in the scanner.

Name the document and add any remarks. Choose whether to scan both sides, multiple pages (as one file or separate files), and/or in color. The scan will begin promptly, and the image will display on the right when complete.

You can also import eligible documents from your computer into the BestRx system by clicking "Import Saved Documents".

The supported file formats are listed as shown above; PDF, GIF, BMP, JPG, JPEG, PNG, TIF, TIFF, and TXT are all supported. Select your documents by pressing the "Add Documents" button for each document you wish to import. When done, simply click "Finish Importing" and to get back to the previous menu click "Back to Scan".

You can view, Print or Delete any of the added documents simply by clicking the desired document from the list and selecting the appropriate function in the button segment below the preview pane. The documents feature is duplex compatible just like the regular scanning features for prescription, and additional pages can be scrolled through using the "<" and ">" buttons. You can also zoom in and out on the document using the corresponding (+) and (-) icons.

The Options button will display options for your scanner device.

To go back to the Patient Info screen, click the "Back to Main" button or simply press F8 on your keyboard.

You can also capture an image if scanning or importing is not available, this will allow you to use the integrated camera in your laptop or webcam to take a picture of the image you would like to load into the LTC facility documents.

Dosage Info

In Dosage Info you are able to set a default dosage time for sig codes, this can be set in the LTC Sig Dosage Template. It can be made specific to a sig code and set inside a LTC facility when using that sig code for scheduling.
