Tender Types
There are a few ways to collect a payment after hitting the Tender button on the register during a transaction. This article will go over each of them, explaining any specifics or conditions they may have.
Cash
Selecting this option will bring up a window asking you to enter in how much money is being collected. Entering in a value below the transaction amount will return you to the Tender Type selection window to select an additional tender method to complete payment. Selecting an amount above the transaction requirements will result in a prompt listing how much change is due.
Check
This option will bring up a screen asking you to enter in the details of the check collected. BestPOS does not cash checks, so this entry is symbolic.
Amount: The dollar amount listed on the check.
Check #: The check number listed on the check.
Cust Name: The name of the customer.
License #: The customer’s driver’s license number.
Phone #: The customer’s phone number.
Bank Name: The name of the customer’s bank.
Routing #: The routing number for the customer’s bank account.
Account #: The account number for the customer’s bank account.
The only mandatory field is the Amount field. You can enter as many or as few check details after that as you’d like.
Credit Card
Credit card payment methods can look different depending on your payment processor.
No Payment Processor
A prompt will appear on the right hand of the Tender Type screen asking you enter in the amount and card info for the payment.
Integrated Payment Processor
If you have been set up with Heartland or Cardknox, you’ll see slightly different looking windows for entering the card information. In addition, if card information has been saved on file for the customer, a prompt will appear asking if you’d like to use that card info; in this case, the card itself doesn’t need to be in the pharmacy.
Debit Card
Debit cards follow the same logic as credit cards, with the main difference being that the system may prompt for a PIN number. It can depend on the processor or the customer’s bank on whether a PIN is requested.
FSA/HRA Card
In order to be able to take FSA/HRA card payments, the pharmacist in charge must be a member of SIG-IS, or the Special Interest Group for IIAS Standards. On their website, navigate to Membership Signup → SIG-IS Membership Form Help and become a member. Once that is done, a BestRx support representative can assist with filling out the required TPS certification form needed. Once completed, you’ll be able to take FSA/HRA card payments through your integrated payment processor in BestPOS.
FSA/HRA cards can only be used to pay for FSA/HRA eligible items. The item must be listed in the transaction at the time that FSA/HRA Card is selected as a tender type. If there are ineligible items in the transaction, a second payment method will need to be selected to cover the balance for those items.
Charge Account
The balance of the transaction can be applied to a patient’s charge account. Charge accounts can be viewed and managed within BestRx, under the Acct Receivables drop down menu. In BestPOS, payment can be collected for these accounts.
Selecting the Charge Account tender type will ask you to select a customer if one isn’t already associated with the transaction. If the customer doesn’t yet have a charge account open, you will be prompted to open one for them at this time.
Food Stamp
This tender type should be used if the patient is presenting paper food stamps to cover the balance of the transaction. They can only cover the balance of items marked as Food Stamp eligible in their item file.
EBT Card
Functionally a debit card replacement to paper food stamps, the EBT Card option only cover items marked as EBT eligible in their item file. As this is a card process, you will need an integrated payment processor set up in your BestPOS system.
OTC Card
OTC Cards cannot be processed within the BestPOS system; you will need a standalone terminal from InComm to actually collect payment from an OTC card. The transaction in BestPOS is symbolic and won’t actually move any money from the OTC card.
To get set up with a OTC card terminal, reach out to InComm on their OTC Benefits Card page and fill out the contact form at the bottom.
