Starting your First Prescription
Rx Processing Screen
From the main screen, make sure New RX is selected. If you need to clear any open screens and return to New RX mode, press Esc on your keyboard or click the Cancel button in the bottom-right corner of the main processing screen.
Insurance Setup
Before adding a patient, it is recommended to confirm that their insurance is already in the system. If the insurance file is empty, press F5 on your keyboard or click the Insurance F5 button to begin adding a plan.
Search for the insurance plan by typing its name. If the plan does not exist in the system, select the Add New Plan. You will need to enter key details such as the Insurance Plan Code, Insurance Plan Name, and BIN number. The Processor Control Number (PCN) may also be required, depending on the insurer. The Insurance Plan Code is internally defined (for example, NYM for New York Medicaid or BCBS for Blue Cross Blue Shield).
Enter the information exactly as it appears on the patient’s insurance card. When finished, click Save & Exit in the bottom-left corner.
Patient Setup
Move to the patient field by pressing Tab, clicking into the field, or using F3 / Patient F3. Since this is your first prescription, you will likely need to create a new patient profile.
The required fields include the patient’s name, date of birth, and gender, though it is recommended to enter as much additional information as possible for future use.
From the patient screen, click Insurance Plans or press F9 to enter the patient’s insurance details. Input the information from the patient’s ID card into the first available plan (Plan 1 for new patients). Verify all entries carefully, then click Save Plans, followed by Save & Exit.
Once saved, the patient information will now appear on the main prescription screen.
Next, add the prescriber. Press F2 or click Prescriber F2 to open the prescriber file. At minimum, the doctor’s name is required, but you should also include the NPI and DEA numbers if available, as these are often required by insurance providers. When complete, click Save & Exit.
Prescriber Setup
Next, add the prescriber. Press F2 or click Prescriber F2 to open the prescriber file. At minimum, the doctor’s name is required, but you should also include the NPI and DEA numbers if available, as these are often required by insurance providers. When complete, click Save & Exit.
Adding a Drug
The system will then move your cursor to the drug field. To add a drug, navigate to the top menu, select File, and choose 9. Search Master Drug File. This allows you to search by partial drug name or NDC.
Enter part of the medication name to search (for example, “moda” for Modafinil). Results displayed in black text indicate drugs not yet added to your system, while gray entries represent drugs already on file. Select the desired medication and click Add to Your Drug File, then click Exit to return to the prescription screen.
Back in the drug field, type in the drug name again and select the drug you added.
Completing the Prescription
Back in the drug field, search for and select the medication you just added. Continue completing the prescription details, including quantity, refills, and SIG directions. You may enter directions manually in the larger Sig field if needed.
Finalizing the Prescription
After confirming all information is accurate, click Save & Transmit Now to send the claim to insurance (recommended unless the prescription should be paid in cash).
If you want the Rx to be paid in cash, or only when necessary, select INS Plan to CASH to mark it as Paid-CASH in the Rx Status. You may adjust the total if needed.
Within a few seconds, you should receive a response from the insurance provider and, ideally, a successful claim confirmation.
