How to Fill an Electronic Prescription

This article walks you through the complete process of receiving, reviewing, and filling an electronic prescription in BestRx. It covers how to identify incoming E‑Rx messages, navigate the electronic prescribing mailbox, process prescriptions correctly, and troubleshoot message delays when necessary.

E-Rx Message Dashboard

After a prescriber sends a message, the right-hand BestRx dashboard displays the total number of prescriptions you’ve received by simply selecting E-Rx Messages you should be navigated to the electronic prescribing mailbox.

E-Rx Tray Alert

When the ER‑x program is running, incoming messages trigger alerts on the server and workstations. The flashing E‑Rx icon displays the number of messages received in BestRx. If messages are not appearing but the prescriber confirms they were sent, pull ER‑x messages on the server only (Main PC). This step is required for all workstations to receive the messages. See Pulling ER-x Messages.

Electronic Prescribing Mailbox

This is the main mailbox screen for electronic prescriptions received by the E-Rx program. Messages received by the pharmacy will display here, and will be sorted according to options selected by the user.

For more detailed information, see the Electronic Prescribing Mailbox documentation: 1. View Received Messages

To view messages received through E-Rx, click on E-Rx 1. View Received Messages.

Filling an Electronic Prescription

Select the checkbox next to each electronic prescription to fill, then click the Fill Rxs button to open the Rx Processing screen.

Control prescriptions have to be filled using the Fill Rxs button and cannot be printed.

This behavior is good practice for all prescriptions, as it properly archives them in your database for safekeeping.

Verify and complete any remaining prescription details.

If the patient and drug already exist in BestRx, the information will auto‑fill. If not, Closest Matches from E‑Rx will appear in the lower‑right corner. Select Quick Add New Patient if the patient is not on file, or navigate to Drug (F4) to add a missing drug, complete the required fields, and select Save & Exit to load it.

Review any additional prescription details not included in the ERx, then save and transmit the claim.

Review any required information in the electronic prescribing mailbox, or continue to the next electronic prescription, which completes the e‑prescribing workflow.

Review E-Rx Prescription Information

Filled ERxs appear greyed out in the View Electronic Prescriptions screen. Select a prescription at any time to review its details and prescriber remarks, even if it was not filled.

Selecting an Rx allows you to review prescription details and choose to fill, keep as new, disable, or close it.

This screen is ideal for viewing prescriber remarks and message details, including the Filled As Rx # to identify the Rx # it was filled under (e.g. 100447; Filled By:).

View Filled Rxs Report

This report allows you to search for prescriptions filled through the ERx mailbox. Any prescription filled using the Fill Rxs button with system‑assisted processing will appear in this report. For more information see documentation: 3. View Filled Rxs

Pulling ER‑x Messages (If Necessary — Rare)

Before performing these steps, confirm the prescriber has sent the messages or verify an unusual delay in receiving messages. This process must be performed on the server (main PC) only. If you are unsure, contact Support.

If the ER‑x shortcut is not available on the server, contact Support for assistance and to create a shortcut for future use.

To pull ER‑x messages:
Right‑click the ER‑x program icon and select Open E‑Prescribing Center.

The Message Poll Status screen appears (errors shown are for example only). Select Message Poll Log.

In the Message Poll Log, you will typically see the last polled message or a message polled from another workstation. Select the Message Type field as highlighted. Press CTRL + SHIFT + F2 to poll messages. Repeat this key combination as needed to retrieve additional messages.

Each time you poll, the E‑Prescribing shortcut displays how many messages are incoming. If prescriptions still do not appear, the issue may be on the prescriber’s end and if you do receive prescriptions you can view them in the prescribing mailbox. This polling method is a common troubleshooting step to try before contacting Support. Ensure this is performed on the server only and follow the documentation exactly. If issues persist, contact Support for further assistance.
