Returning a Transaction

To return a transaction, it must have been completed in the BestRx software.

You will need the receipt number to perform the return. If you don’t have it, you can look it up in the Reprint Receipt screen on your register, or in POS Admin, selecting Reports → U. Transaction by Customer report.

If you cannot obtain the receipt number, a generic return can be done. However, this will not return payments made by credit or debit card, and will have to be done in cash.

Once you have the receipt number, click the “Return” button at the bottom of the Register window, or press F5, to bring up the return window.

Then, enter the receipt number into the Original Receipt # field and press “Enter”. This will bring up items eligible for return.

 

From here:

  • Check the items you would like to return

  • Enter a remark (if needed)

  • Click Return

Next, you will be asked to confirm the return. Once confirmed, a screen will appear that indicates the amount of cash to return to the customer, or it will ask if you’d like to refund the patient by cash or card payment (depending on the original payment method used).

You will also see a button that will allow you to “Email Return Receipt” to the customer.

Once you’ve made your selections, click “OK” and the screen will close and the return will be completed.

If the patient paid with a credit or debit card, you cannot return a partial amount. The entire transation amount will need to be returned.

If you try to initiate a return using a receipt that has already been returned, no returnable items will be displayed. Instead, you’llbe able to view the previous return details listed.

 

Returning a Charge Account Payment

Charge account payments can only be returned from the Reprint A/R Payment Receipt screen. You can access this in your Register by clicking the “Other” button, or pressing F11, and then selecting Reprint A/R Payment Receipt. It is also accessible in POS Admin, under Miscellaneous → K. Reprint Receipt → 3. A/R Payment Receipt.

You’ll need either the receipt number or date the payment was made to complete the return. Without it, you’ll need to manually adjust the patient’s charge account within BestRx's Enter Charge Account Transaction screen.

To get started, enter the receipt number to pull up the receipt, or search by date and click on the correct transaction entry.

 

Then, click on Return A/R Transaction to perform the return.

Voiding a Transaction

To cancel a transaction from the register screen, click the “Void” button at the bottom, or press F3.

 

This will cancel the transaction for the items listed in the SKU window.

 

If you need to cancel a transaction that was on put on hold, click on the “Resume” button or press F4. A list of transactions you have on hold will be displayed.

 

Then, click on the transaction you’d like to void. Once the transaction has been selected, you have a few of options.

To cancel the transaction, click the Delete Transaction button.

 

This will delete the transaction from your hold list.
