Overview

As of April 2023, you can perform partial fills in BestRx using the IOU feature. If the pharmacy doesn’t have enough of a certain medication and will need to fill the rest of the prescription later, the IOU feature will track how much of the medication is still owed to the patient.

Creating an IOU

IOUs can be created while working on prescriptions from the Rx Processing screen, and the Verify Before Fill and Verify Before Dispense screens.

Rx Processing Screen

After a prescription has been saved, the Qty Filled field will be come bold and underlined, making it clickable.

Clicking the Qty Filled button will bring up the Rx IOU Tracking screen, listing the details of the prescriptions and any existing IOUs.

To create a new IOU, click the Create New IOU button.

Enter in the quantity being dispensed and any notes related to the partial fill. Once finished, click Save or Save & Print Label to create the IOU.

In the example above, the first partial fill (PF#1) is created, dispensing a quantity of 17 out of 30.

If one or more partial fills are created, and you attempt to change the Qty Filled for the prescription to a quantity less than the total of the partial fills, you will get a warning prompt giving you three options.

  • N - Enter New value for Qty Filled - Selecting this option will close the prompt and shift the user’s focus to the QTY Filled textbox, where they will be able to enter a new Qty.

  • P - Edit the Partial Fills for this Prescription - Selecting this option will open the IOU Tracking screen so the user can adjust the Partial Qty accordingly.

  • C - Cancel and do not edit the Qty Filled - Selecting this option will reset the Qty. Filled value back to what it was originally.

Verify Before Fill/Dispense Screens

The RX IOU Tracking screen can be accessed from the IOU button at the bottom of the verification screens.

The Verify screens also can now include Qty Filled and Qty Owed fields to be verified.

Additionally, if multiple partial fills exist, the verify screens will ask which one you wish to verify.

Dispensing IOUs

When it is time to dispense the remainder of the prescription owed to the patient, bring up the RX IOU Tracking screen from the Rx Processing Screen (Qty Filled button) or Verify screens (IOU button) as described above.

Click on Dispense Remaining Qty to create the second partial fill in the IOU screen.

Proceed with filling the second partial fill as normal in BestRx. The workflow status of both fills will be reflected in the Rx IOU Tracking screen.

In the example above, the first partial fill (PF#1) for 8 was dispensed. The second partial fill (PF#2) was created using the Dispense Remaining Qty button, and is Ready for Pickup.

When dispensing through BestPOS, the software will recognize which fill you are ringing up and adjust the price for the partial fill accordingly.

This also applies when dispensing through other methods such as standard and mobile deliveries, and shipments.

Note

Our software will not allow you to dispense the second partial fill until the first one has been dispensed.

This means that the first fill must be dispensed, then the second, or both at the same time.

IOU Queue

You can keep track of all IOUs through the IOU Queue. This queue displays (and can be filtered by) IOUs that are Pending, In Process, Ready to Dispense, and Completed Dispensed.

The IOU Queue can be accessed from the blue-text navigation bar at the top of the screen, or the IOU Queue tile on the dashboard.

Label Variables
